Scheduling Consultations and Events

Appointments and Events represent the time reserved for activities that may involve inviting other people or reserving resources.

 

The difference between scheduling a consultation and an event is that while scheduling the consultation you can choose the patient. However, there is no need to choose a patient while fixing up an event.

 

Scheduling a Consultation

1 Click the Schedule Consultation button on the toolbar or in the Calendar double-click the time when the appointment has to be scheduled.

2. Select the Patient.

3. Type in the Reason for the consultation.

4. Choose the Category.

5. Set a Color so that entry in the calendar is displayed in a particular color.

6. Specify the duration of the consultation by setting the Start Time and End Time.

7. Select Reminder and choose when you want to be reminded.

8. Enter any details regarding the consultation.

9. Click Save and Close to schedule the consultation.

 

Adding a New Event

1. Click the Add Event button on the toolbar.

2. Mention the Subject of the event.

3. Type in the Reason for the event.

4. Choose the Category.

5. Set a Color so that entry in the calendar is displayed in a particular color.

6. Specify the duration of the event by setting the Start Time and End Time.

7. Select Reminder and choose when you want to be reminded.

8. Enter any details regarding the event.

9. Click the Contacts button to assign others to this event.

10 Click the Notify button to send a mail notification to the assigned contacts.

11.Select Private to mark the event as private. Use the Sharing option from the toolbar to define custom sharting.

12. Click Save and Close to save the record.

 

Scheduling Recurring Appointment

A recurring appointment is indicated by a double arrow icon in the calendar.

1. From the Consultation editor or Event editor, click the Recurrence button.

2. In Appointment Time section, enter Start and End times.

3. In Recurrence Pattern section, indicate frequency of appointment (Daily, Weekly, Monthly, or Yearly). When you select an option, the Recurrence Pattern section changes.

4. Enter day, month, and other options as needed.

5. In Range of Recurrence section, enter:

- Start date when recurring appointments begin.

- No End Date if the appointments are not on limited schedule.

- End After if there is a specific number of appointments.

- End By if the appointments end on a specific date.

7. Click Save and Close to save the record

 

Reserving Resources

You can reserve sesources for any scheduled appointment, depending on their availability.

1. From the Consultation editor or Event editor, go to the Resources tab.

2. Click the Assign resources button.Select the resources from the Resources available to be assigned list to the Resources already assigned list. The time grid on the right displays the resource names and their availability.
